CloudNuro {Cloud Management, FinOps} is a SaaS Intelligence Platform for mid-to-large enterprises (1,000–10,000+ employees). It discovers all SaaS applications used across an organization, analyzes license usage, identifies dormant users, calculates savings opportunities, and provides spend forecasting.

Challenge

The team started noticing a pattern: customers were simply not using the invoice upload feature. Even though invoices are the backbone of CloudNuro’s analytics, the process felt hidden, repetitive, and difficult for them to trust.Admins were handling dozens of applications and just as many invoices, yet the platform required them to onboard each app manually and upload documents one by one. This created fatigue, mistakes, and a sense of “this is too much work.” On the other side, engineering was spending days manually uploading and parsing invoices sent over email. A single customer onboarding cycle was taking almost a week, which slowed down insights and affected the overall experience. There was also a shared concern across teams about security. Customers hesitated to upload financial documents because the platform wasn’t clearly showing how their data was handled or protected. Overall, the challenge became clear within the team: Customers needed a simpler, safer, and more unified way to get their invoices into CloudNuro — without friction, confusion, or engineering dependency.

Uploading invoices was hidden inside each application page, required repetitive manual steps, and often led to errors or missed uploads. Customers struggled with onboarding apps one by one, and engineering had to manually process every invoice, slowing down onboarding for everyone. This investigation made it clear that the flow needed to be simplified, centralized, and automated to reduce friction and build trust.

The redesigned flow introduces a dedicated Invoice & Pricing section where users can upload all their invoices in one place, in bulk. Once uploaded, CloudNuro uses OCR intelligence to read each document, identify the correct application, extract essential contract details, and even auto-onboard missing applications. This removes the need for users to manually onboard apps before uploading invoices. Security and trust were treated as first-class requirements. Users can clearly see what data is being extracted, how it is used, and can choose to auto-delete the invoice files after processing. This transparency reduces hesitation and increases adoption. With these changes, invoice processing becomes completely automated: 1. invoices are mapped correctly 2. Apps are onboarded automatically 3. Analytics refresh within 1–1.5 hours instead of a week 4. Renewals are tracked and surfaced proactively The solution transforms a previously hidden, manual workflow into a secure, self-served, fully automated experience that scales with the customer’s SaaS environment and eliminates engineering dependency.
